These Terms & Conditions («Terms») govern access to and use of the Sports & Events World website and participation in any Sports & Events World edition, event or related service organised by Grupo eventoplus, S.L. («Sports & Events World», «we», «us» or «the Organiser»).

By accessing our website, registering for an event or participating in any edition, you agree to be bound by these Terms.

1. About Sports & Events World

Sports & Events World is an international B2B workshop connecting sports travel professionals, MICE agencies, destinations, hotels, venues, DMCs and other industry suppliers through pre-arranged business meetings, networking activities and hosted experiences.

The Organiser reserves the right to modify the format, programme, venue, speakers, schedules and services of any edition whenever necessary.

2. Registration and Acceptance

Participation in any event is subject to approval by the Organiser.

Submitting a registration form does not guarantee acceptance.

We reserve the right to approve, reject or cancel registrations at our sole discretion.

Confirmation of participation will be communicated by email.

3. Hosted Buyer Programme

Hosted Buyers are selected based on professional profile, purchasing power, business relevance and category balance.

Accepted Hosted Buyers may receive benefits including:

• Accommodation during the event.
• Participation in networking activities.
• Access to the matchmaking platform.
• A personalised meeting schedule.
• Travel reimbursement or flights, when applicable.

Hosted Buyers agree to:

• Attend all mandatory appointments.
• Participate actively in the programme.
• Provide accurate professional information.
• Respect event schedules and other participants.

Failure to comply may result in exclusion from current and future editions and reimbursement of expenses incurred by the Organiser.

4. Supplier Participation

Suppliers purchase participation packages that include access to the event and related services.

Supplier packages may include:

• Guaranteed pre-arranged meetings.
• Profile visibility within the matchmaking platform.
• Access to networking events.
• Branding opportunities.
• Event accreditation.

Participation becomes effective only after payment has been received and confirmed.

5. Prices and Payment

Prices published on the website or registration forms are expressed in Euros unless otherwise stated.

Applicable VAT and taxes may be added.

Payments may be made by:

• Credit or debit card through Stripe.
• Bank transfer.
• Pro-forma invoice.

For invoice payments, participation may be reserved for up to fifteen (15) days pending receipt of payment.

Failure to complete payment may result in cancellation of the reservation.

6. Cancellation and Refund Policy

Supplier cancellations

• More than 60 days before the event: full refund.
• Between 30 and 60 days before the event: 50% refund.
• Less than 30 days before the event: no refund.

Hosted Buyers

Travel and accommodation benefits are subject to attendance obligations.

The Organiser reserves the right to recover costs incurred where a Hosted Buyer fails to attend or cancels without justified cause.

Substitutions may be accepted upon prior approval.

7. Event Changes and Force Majeure

The Organiser may postpone, relocate, modify or cancel any event due to circumstances beyond reasonable control, including:

• Natural disasters.
• Public health emergencies.
• Government restrictions.
• Strikes.
• Transportation disruptions.
• Security risks.
• Force majeure events.

The Organiser shall not be liable for any indirect losses, travel expenses or consequential damages arising from such circumstances.

8. Matchmaking Platform

Participants may receive access to digital matchmaking tools and event applications.

Users agree to:

• Provide truthful information.
• Use the platform only for legitimate business purposes.
• Refrain from abusive, unlawful or misleading conduct.
• Respect the confidentiality of information obtained through the platform.

The Organiser reserves the right to suspend accounts for misuse.

9. Code of Conduct

All participants must behave professionally and respectfully.

Harassment, discrimination, intimidation, abusive behaviour or disruptive conduct will not be tolerated.

The Organiser may remove any participant without refund when such conduct is considered inappropriate.

10. Intellectual Property

All website content, trademarks, logos, photographs, videos, graphics, event materials and software are the property of Sports & Events World or their respective owners.

No material may be reproduced, distributed or used without prior written permission.

11. Photography and Media

Participants acknowledge that photographs and video recordings may be taken during events.

By attending, participants grant Sports & Events World the right to use such material for promotional, editorial and marketing purposes without additional compensation.

Participants who object to being photographed should notify the Organiser in writing before the event.

12. Third-Party Services

Our website and events may contain links or services provided by third parties, including payment processors, hotels and travel providers.

Sports & Events World is not responsible for the content, availability or performance of third-party services.

13. Limitation of Liability

To the maximum extent permitted by law, Sports & Events World shall not be liable for:

• Indirect or consequential damages.
• Loss of profits.
• Business interruption.
• Data loss.
• Delays caused by third parties.
• Travel or accommodation losses outside our control.

Our total liability shall never exceed the amount paid by the participant for the relevant event.

14. Data Protection

Personal data is processed in accordance with our Privacy Policy and applicable regulations, including:

• GDPR (EU Regulation 2016/679).
• Spanish Organic Law on Data Protection (LOPDGDD).
• Other applicable privacy regulations.

By registering, participants consent to the processing of their personal data for event management and communications.

15. Website Availability

Although we strive to maintain uninterrupted access to the website, we do not guarantee continuous availability.

The website and its content are provided «as is» without warranties of any kind.

16. Amendments

We reserve the right to modify these Terms at any time.

Updated versions will be published on the website and become effective upon publication.

Continued use of the website or participation in events constitutes acceptance of any changes.

17. Governing Law and Jurisdiction

These Terms shall be governed by the laws of Spain.

Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of Madrid, Spain, unless mandatory consumer protection laws provide otherwise.
